About the team we are recruiting to
The Education Entitlement Service (EES) strives to deliver outstanding services for our customers, predominately the children of Coventry, who may be requiring access to education or alternative education provision. We ensure vulnerable children are appropriately supported; have a voice, that hopefully leads to their high achievement and excellent progress.
The EES is made up of a diverse range of teams all working together to recognise, support and apply innovative solutions to address the growing issues in relation to trying to educate some of our most vulnerable pupils in schools.
Coventry Virtual School (CVS) is a service provided by dedicated professionals within the Children, Schools and Families Directorate whose work is to promote and co-ordinate educational support for Looked After Children and Care Leavers to succeed at nursery, school, college and university; wherever their place of learning.
The team's purpose is to ensure that all who work with Coventry’s Looked After Children and Care Leavers have high educational aspirations for them, so that our pupils and students are given the best opportunities to engage, progress and achieve to their full potential.
CVS is staffed by professionals, who work in partnership with schools, social workers, carers and other professionals. Like all good parents, we ensure that communication about our children is regular and constructive and that we are all working together successfully to help them achieve their potential.
What is the job role?
37 hours; permanent contract
This is a rewarding and challenging opportunity to support the education of looked after children by providing high quality administrative and general office support to the Coventry Virtual School. Using your initiative and problem-solving skills you will be engaging in very varied tasks which ensure that the Virtual School is always operating with the most UpToDate and accurate information, processes financial transactions quickly and efficiently and is able to organise and host a variety of events for children, their teachers and carers.
Duties and responsibilities will be to:
Deal with enquiries, through various mediums, seeking to resolve queries at first contact, signposting to the relevant person for action, and using judgement as to when to pass on more complex issues
Process new cases using dedicated IT systems and following process to meet statutory deadlines
Data input and indexing of documents using bespoke and corporate IT software packages
Maintain computerised filing systems, retrieving information as appropriate, and ensuring that information is accurate and kept up to date; including the creation and updating of spreadsheets.
Responsible for maintaining and ordering supplies of stationery, resources and materials.
Raising purchase orders for goods and services and processing bulk payment runs.
Work with Virtual School team members to organise and administrate the running of events and projects for children.
Handle correspondence and allocate incoming ePost to service users.
Organise and attend meetings with internal & external representatives and take meeting notes.
Who are we looking for?
We are looking for individuals who:
Have experience significant experience of using database packages and MS office, particularly Excel
Have experience of financial processes; raising and paying invoices
Motivated with excellent organisational and problem solve skills
Can work on their own initiative, be flexible in meeting the needs of other team members and able to prioritise their own workload
Able to communicate effectively verbally and in writing
Understand the requirements of GDPR and the need for confidentiality in handling personal information
Good customer service skills and experience
