About the team we are recruiting to
The Adult Education Service is part of Coventry City Council. We provide a wide range of courses for Coventry residents age 19+ and much of our provision is targeted at people with the highest levels of need.
We offer long courses in English, maths, English for Speakers of Other Languages (ESOL), ICT/Digital and vocational subjects such as Early Years, along with provision for adults with learning disabilities.
We also offer a very wide range of short community courses in arts, crafts, music, dance, exercise, fitness and family learning. In addition, we run a highly supportive study programme for young people.
Our work-based learning offer includes Apprenticeships in the following subject areas:
- Nursery Workers
- Teaching Assistants
- Leadership/Management; and
- Customer Care.
We also provide courses for adults who are seeking work via the Council’s Job Shop.
Our main base is at Southfields Old School, CV1 5EJ, with provision delivered at around 25 other sites within Coventry, mostly in areas of highest need.

What is the job role?
Coventry Adult Education Service are seeking to recruit an administration team leader. The administration staff provide an administration service at a variety of venues across Coventry, where Adult Education courses are delivered and consists of 22 members of staff lead by 3 team leaders.
As one of the administration team leaders, you will have designated responsibilities beyond general management of the team. This post will have the designated responsibility of coordinating all administration services linked to exams. The service currently processes exam entries for around 1500 learners each academic year, using a variety of software tools to upload data to and download results from multiple awarding bodies.
This post is exempted under the Rehabilitation of Offenders Act 1974 and as such appointment to this post will be conditional upon the receipt of a satisfactory response to a check of police records via Disclosure and Barring Service (DBS).
Who are we looking for?
When applying please ensure you base your personal statement on the information given below and in the attached job description/person specification. Candidates are shortlisted on their skills and experience against this information.
It is essential that applicants have previous experience of managing staff or of working in an exams office. Applicants must also have a maths and English qualification at GCSE 4/C or above.
Candidates who do not have previous experience of working in an exams office must be able to demonstrate a willingness to be trained in the necessary exams processes, policies and procedures which will enable them to lead the exams team.
Candidates who do not have experience managing staff must be able to demonstrate excellent communication and interpersonal skills and a willingness to develop their management skills.
Designated responsibilities for this role will require the appointed candidate to undertake the following duties, with training if required, in addition to leading their team:
• Maintain and develop systems to manage and coordinate all aspects of the exams administration process
• Identify and access relevant support available from external stakeholders (Awarding Bodies/JCQ (Joint Council for Qualifications), network groups etc)
• Comply with JCQ and awarding body regulations, guidance and instructions, keeping abreast of developments/changes/updates and cascading them to appropriate teams
• Use JCQ and other awarding body online tools effectively, where required e.g. the centre admin portal, secure extranet sites
• Oversee (as the main administrator) and manage appropriate access rights for relevant internal stakeholders using JCQ and awarding body online tools
• Manage own time and that of your team to ensure key tasks are undertaken and external key dates and deadlines are met
• Communicate clear internal deadlines and processes for gathering/sharing exam related information with/from the relevant internal stakeholders
• Plan and conduct JCQ and awarding body centre inspections
• Manage arrangements to receive, check and store question papers and examination material safely and securely at all times and for as long as is required in accordance with regulations
• Ensure that awarding body processes and timescales for the registration/entry/withdrawal of candidates are met
• Train and deploy a team of invigilators
• Manage the arrangements for timetabling exams and invigilation of exams in accordance with the regulations
• Use internal and external IT systems to access and manage awarding body results
• Manage the distribution of candidate certificates
The post requires good ICT skills, particularly in Word and Excel and previous experience of handling and administering a petty cash system.
