About the team we are recruiting to

Regulatory Services is made up of multi-disciplinary professionals including Licensing, Trading Standards, Food and Safety, Building Control, Housing Enforcement and Property Licensing.  These services embrace a range of service areas used by the community which primarily involves people, businesses or organisations needing to obtain some form of consent within the law or are required to comply with various legal provisions.  The service area aims to:

  • Ensure that the public, visitors, workers and residents of Coventry have a healthy and safe work, leisure and domestic environment;
  • Treat all regulated persons and businesses in a fair and consistent manner, through a process of education, persuasion and enforcement, ensuring that the public and businesses observe the law, and
  • Protect public health and the wider environment, whilst minimising disruption to enterprise or economic activity and reducing the legislative burden on compliant businesses.

We are seeking a positive, experienced, enthusiastic, talented and driven professional who cares about our great city, to join our busy, forward thinking Regulatory Services team.

If so, this is an exciting time for you to join our team as a Professional Support Officer. In this role, you will be providing high level support to the Strategic Lead of Regulation, Strategic Manager of Regulation and Team Leaders, exercising judgement and independence. You will be the single point of contact for safety advisory groups (SAGs), responding to queries and correspondence, managing meeting papers, managing meeting attendance from a wide range of organisations and undertaking diary management for the Strategic Lead of Regulation. 

The role of safety advisory groups is to give multi agency safety advice to a wide range of partners and event organisers, including, Coventry City Football Club, Coventry RFC and to venues hosting events in the City.

The main duties and responsibilities of this role include:

  • Meeting management.
  • Managing safety advisory group agendas.
  • Extensive and high-level document management.
  • Minute taking.
  • Diary management.
  • Establishing effective working relationships with internal and external customers.
  • Managing conflicting and competing priorities effectively.

Who are we looking for?

As a Professional Support Officer, you will have sound knowledge and understanding of best administration practice in relation to supporting our safety advisory groups. You will have excellent interpersonal skills and an ability to engage with contacts inside and outside of the organisation and at all levels to achieve appropriate outcomes. You will be adept at establishing and maintaining cooperative working relationships, establishing rapport and gaining the trust and support of others. The ability to work under your own initiative, use independent judgement, tact and decisiveness while working under pressure against a backdrop of constantly changing priorities, will be required.

To be a successful applicant you will have previous, extensive experience as a Personal Assistant, preferably with safety advisory group experience, and be able to detail how you have supported senior managers. Experience of meeting management, minute taking, the production of lengthy and timely minutes and document management is crucial to the role. Experience and proficiency in using Microsoft Teams and SharePoint will be advantageous.
