Office Manager - Blue Coat School

What is the job role?

Terms and Conditions: Permanent, 37 hours per week, term time only (+ 4 weeks)

Actual Salary: £25,411 - £30,926 pro rata per annum

Full time equivalent salary: £27,041 – £32,910 Grade 6 Support staff Pay Scale

Hours of work:  Monday to Thursday 8.00am – 16.00pm.  Friday 8.00am – 15.30pm

(Half an hour lunch break each day)

About the role

We are seeking to appoint an Office Manager to lead and manage the school administration team and lunchtime supervisors in a large fast-paced secondary school, ensuring that an effective and efficient service is delivered to our pupils, parents and staff.  The successful candidate will ensure the Front of House reception service provided is exceptional including dealing with escalated issues with parents and students where necessary. Other responsibilities within the role include:

  • Maintaining the school’s robust attendance policies and procedures and overseeing day to day attendance
  • Ensuring the smooth running of administrative functions including the school postal system, reprographics, central record-keeping and the coordination of key school processes such as on-call, first-aid and emergency protocols
  • Maintaining, developing and reporting from administration systems including SIMS
  • Prioritising workloads of staff within the department as appropriate, to meet the needs of the school
  • Carry out performance management of administration staff and lunchtime supervision staff
  • ‘Roll up their sleeves’ and assist the team with their day-to-day activities when required

We are looking for someone who has:

  • Demonstrable experience of working in a school/academy administrative function
  • GCSE Grade C/4 or above in English and Mathematics
  • Level 3 or above qualification in business administration, childcare, customer service, supporting teaching and learning or a similar subject.
  • Experience of working within an administrative/reception background
  • Demonstrable experience of maintaining, developing and improving administration systems
  • Good understanding of management information systems (e.g. SIMS) and able to input and extract reports
  • Excellent interpersonal skills, with the ability to build effective relationships, both internally and externally

You will be expected to thrive in a fast-paced environment with multiple priorities and will be confident in dealing with a range of people including parents, pupils, teachers, senior leadership and outside agencies.  The ability to take the initiative, remain calm and focused whilst working under pressure is essential.

All staff are expected to know what to do if they have concerns about a child, take on the responsibility for providing a safe environment and promoting children’s welfare, undertake regular safeguarding and child protection training and, familiarise themselves with KCSIE part 1 and local policies and procedures as directed by the trust/academy.
