Administration Assistant - Longford Park Primary School

20 hours per week

TT0 - 38 weeks + 5 days - (39 weeks)

£21,189 - £22,369 (pro rata based on hours and term time only)

We are looking to appoint a committed and highly effective Administration Assistant to join our dedicated office team.

The successful candidate will be familiar with Microsoft IT packages and Excel. In addition, you will also be a confident, well presented and articulate individual looking to provide excellent administration support within this outstanding educational setting.

Longford Park Primary School is a one-form entry school for children aged 3 -11 years old.  We are an accredited Thrive school and have a recognised Learning Outside the Classroom (LoTC) silver award.

In your role you will be working to support the School Business Manager along with the office team on a day to day basis and will include some of the following duties:

  • Undertake reception duties.
  • Help to create a pleasant welcoming atmosphere.
  • Deal with visitors to the school, issue visitor passes and notify person they have come to see.
  • Manage school absence & attendance, including producing reporting for the head teacher.
  • Organise school dinners daily, providing numbers and necessary information to the kitchen. 
  • Give information and guidance to parents and others as appropriate.
  • Be a point of contact for pupils requiring help and support, referring them on as appropriate.
  • Deal with incoming and outgoing post, e.g. sort and distribute, ensuring urgent post is sent.
  • Deal with telephone enquiries, taking messages and passing on for dealing with as appropriate.
  • Filing, e.g. invoices, personnel documents etc.
  • Generate standard letters – amend with up-to-date information e.g. letters to parents re events in school.
  • Produce documents from drafts, e.g. from teachers and the head teacher.
  • Distribute documents and materials within the school.
  • Take payments for school visits, clubs and other planned activities.

 

Records

  • Maintain pupil and staff data on the schools management system, as instructed by the School Business Manager.
  • Record and maintain attendance data and complete records for admissions and leavers.
  • Maintain records, files and databases, update, retrieve information and collate reports under direction.
  • Assist in completing statutory returns.

 

Other

  • Assist with making arrangements for visits to the school.
  • Assist with pupil welfare, liaising with parents.
  • Attend and participate in relevant meetings as required.
  • Any other administration/ office duties that fall within the scope of a Grade 3 administration post.
